In many hospitals, delays occur in the reoccupation of beds after patients are discharged. This delay, which averages 4-5 hours between the doctor's visit and the actual bed availability, is mainly due to manual processes required to update the National Health Service (NHS).
In addition, various downstream departments, such as bed cleaning, have to be informed separately, which leads to inefficient processes and delays in bed preparation. This waiting time means that the bed cannot be made available for new patients.

Admission process:
From initial admission to inpatient admission
A patient is admitted either via the Central Accident Emergancy (A&E) or as a scheduled appointment. After the initial examination and diagnosis, a decision is made as to whether inpatient admission is necessary. The attending physician makes this decision based on the medical findings.
As soon as the decision for inpatient admission has been made, the patient data is entered into the National Health Service (NHS). This is where the Central Information Board is used, which is connected to the HIS via an interface and receives and processes data such as FHIR or HL7.

This seamless integration enables the automatic collection and provision of important information, including
- Number of patients admitted
- Available and occupied beds and medical equipment
- Status and position of beds and equipment
- Monitoring of vital parameters through wearables
- Hygiene status of beds
- Documentation and logging of orders for bed cleaning, logistics, medical technology and food ordering
- Temperature measurements for laboratory refrigerators in accordance with GMP guidelines
The Central Information Board processes this data in real time and automatically forwards it to the relevant departments. This means that important processes are initiated immediately. The system can also access various modules, for example for logistics, bed management, patient management or temperature monitoring. It is also possible to integrate external providers, such as for ordering meals.
This networking enables beds and rooms to be made available for new patients more quickly and efficiently, which significantly improves the utilization of hospital capacity.

Discharge process:
From the decision to reoccupation of the bed
A patient is discharged during the medical ward round, together with the nursing staff. The attending physician decides in consultation with the nursing staff whether the patient can be discharged. After this decision, the patient is signed out in the NHS system.
In many cases, however, the high workload of the staff leads to delays in discharge in the system. As a result, subsequent departments are not informed in time to initiate the necessary measures for bed preparation. This results in unnecessary idle times and delays in re-occupancy.
Optimization through the Central Information Board
Thanks to the integration of the Central Information Board, discharge takes place via a user-friendly digital application. A simple scan of a barcode separates patient and bed and automatically notifies all parties involved, such as bed cleaning, medical technology and logistics, to initiate the necessary steps.
